We are seeking an Administrative Associate to assist us in our mission of helping clients achieve their financial goals. The Administrative Associate plays an important role in setting the tone for the organization. As the first and last person clients see when they are in the office, the Administrative Associate is instrumental in making sure clients have a positive experience.


  • Greets clients and prospective clients in a friendly and sincere manner
  • Processes new accounts.
  • Processes new contributions and redemptions.
  • Processes beneficiary changes.
  • Handles incoming telephone calls.
  • Sorts and distributes the mail.
  • Sends periodic client correspondence.
  • Handles calendars for the Wealth Advisor(s) and others in the office.
  • Orders and handles office supplies.
  • Coordinates outside vendors.
  • Communicates with clients in person, in writing, and over the telephone.
  • Sends update meeting letters/portfolio review reports.
  • Handles miscellaneous operational activities.
  • Filing reports and paperwork as needed.
  • Continuous education to be well versed in all existing programs and processes.
  • Works closely with the Operations Manager to ensure an efficient and streamlined office.
  • Performs other duties as assigned.

  • Professional demeanor.
  • Proficiency with Microsoft Office Suite.


  • Interest in and knowledge of financial markets, investment securities and insurance products.
  • Previous financial services industry experience.

Attendance is an essential function.
Salary is commensurate with experience.
