Description
The Operations Associate plays an important role in setting the tone for the organization. As the first and last person clients see when they are in the office, the Operations Associate is instrumental in making sure clients have a positive experience.  The Operations Associate must be able to work effectively with other staff members, clients, and the Wealth Advisor(s).

Responsibilities & Activities 

  • Greets clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office.
  • Provide leadership and team building that furthers the overall firm culture
  • Sends periodic client correspondence.
  • Coordinates the assembly and mailing of client paperwork.
  • Handles calendars for the Wealth Advisor(s) and others in the office.
  • Communicates with clients in person, in writing, and over the telephone. Meets with clients to complete paperwork.
  • Manages new business functions:
  • Meets with clients and starts new client forms processing.
  • Follows up with clients as needed to make sure all paperwork is processed.
  • Processes new accounts.
  • Processes account transfers.
  • Processes new contributions and redemptions.
  • Processes beneficiary changes.
  • Sends update meeting letters/portfolio review reports.
  • Handles miscellaneous operational activities.
  • Develops and maintains written systems of all activities
  • Communicate with other team members to ensure efficiencies within processes.
  • Help develop continued growth for the firm
  • Cultivate and maintain effective business relationships with decision makers
  • Pursue prospects from all mediums
  • Participate in the planning and sales process for new opportunities
  • Maintain prospect process workflow
  • Identify large opportunities
  • Build relationships with Wealth advisors, operations team
  • Attend events and conferences
  • Attend networking events
  • Champion community involvement through charitable involvement
  • Be able to consistently deliver LifeMap Wealth Management value Proposition to prospective clients
  • Performs other duties as assigned

  • Requires:
    • Excellent interpersonal skills.
    • Excellent attitude and an extraordinary client service orientation.
    • Superior phone skills—friendly and helpful in all interactions on the phone.
    • A genuine interest in serving and caring for other people.
    • Excellent organizational and time management skills and ability to multi-task.
    • Professional demeanor.
    • Proficiency with Microsoft Office Suite.
    • Ability to type 50 wpm.
  • Attendance is an essential function.
  • Salary is commensurate with experience.
